Child Safeguarding & Abuse Prevention Policy

1. Statement of Commitment

3 Minds Learning is committed to providing a safe, respectful, and secure environment for all students participating in our programs.

We maintain a zero-tolerance policy for abuse, neglect, exploitation, harassment, or inappropriate conduct of any kind.

The safety and wellbeing of children and youth is our highest priority.

This policy applies to all individuals representing or working with 3 Minds Learning, including:

  • Employees

  • Independent contractors

  • Facilitators

  • Assistants

  • Volunteers

  • Guest speakers

  • Interns

  • Program partners

No individual may deliver, assist with, or supervise programming without meeting the requirements outlined below.

2. Scope of Safeguarding

This policy applies to:

  • All in-person programs

  • Workshops and special events

  • School-based programming

  • Community venue programming

  • Off-site events

  • Any environment in which 3 Minds Learning provides services to minors

3. Screening & Background Requirements

All individuals working directly with minors must complete the following prior to delivering any program:

  • Vulnerable Sector Check (VSC)

  • Criminal Record Check

  • Signed Confidentiality Agreement

  • Signed Staff Code of Conduct Agreement

  • Acknowledgment of this Child Safeguarding & Abuse Prevention Policy

Screening documentation must be reviewed and approved by 3 Minds Learning before an individual begins working with students.

Failure to provide required documentation will result in ineligibility to participate in program delivery.

4. Professional Conduct Standards

All staff, contractors, volunteers, and assistants must:

  • Maintain appropriate professional boundaries at all times

  • Avoid unsupervised one-on-one situations whenever possible

  • Refrain from inappropriate physical contact

  • Use language and conduct that is respectful and age-appropriate

  • Avoid private communication with students outside official program channels

  • Avoid social media interaction with students unless expressly authorized for program purposes

  • Dress professionally and appropriately

Under no circumstances may an adult engage in behavior that could be interpreted as grooming, coercion, favoritism, or inappropriate familiarity.

5. Supervision & Safety Protocols

3 Minds Learning maintains the following supervision standards:

  • Students are supervised at all times during program hours

  • Clear sign-in and sign-out procedures are followed

  • Adults are not permitted to isolate students in private areas

  • Where possible, a two-adult standard is maintained in program spaces

  • Staff remain attentive to group dynamics and behavioral risks

6. Mandatory Reporting (Ontario)

Under the Child, Youth and Family Services Act (CYFSA), all individuals in Ontario have a legal duty to report suspected child abuse or neglect directly to a Children’s Aid Society (CAS).

This obligation applies to all 3 Minds Learning staff, contractors, assistants, and volunteers.

If there are reasonable grounds to suspect that a child is in need of protection, the individual must:

  • Report directly to the local Children’s Aid Society

  • Not rely on someone else to report on their behalf

  • Not delay reporting

Concerns may include, but are not limited to:

  • Physical abuse

  • Sexual abuse

  • Emotional abuse

  • Neglect

  • Exposure to domestic violence

  • Risk of harm

Failure to report suspected abuse may carry legal consequences under Ontario law.

3 Minds Learning supports and expects full compliance with mandatory reporting obligations.

7. Reporting Concerns Within 3 Minds Learning

If a staff member, volunteer, parent, or student has concerns regarding:

  • Inappropriate conduct

  • Boundary violations

  • Safety risks

  • Suspected abuse

They must report concerns immediately to the designated safeguarding contact.

All reports will be documented and handled with seriousness, discretion, and appropriate action.

Retaliation against any individual who raises a good faith concern will not be tolerated.

8. Response to Allegations

If an allegation of abuse or misconduct arises involving a staff member, contractor, volunteer, or assistant:

  • Immediate protective measures will be taken

  • The individual may be suspended from program involvement pending investigation

  • Authorities will be contacted as required by law

  • Full cooperation will be provided to investigative bodies

3 Minds Learning reserves the right to terminate relationships with any individual who violates this policy.

9. Confidentiality & Record Keeping

Information related to safeguarding concerns will be:

  • Documented promptly

  • Stored securely

  • Shared only with those who require access for legal or safety purposes

Confidentiality will be maintained to the extent possible while ensuring student safety.

10. Partnership with Schools & Venues

When partnering with schools or community venues, 3 Minds Learning agrees to comply with applicable institutional safeguarding requirements in addition to this policy.

Where venue policies exceed our standards, the higher standard will apply.

11. Policy Review & Updates

This policy will be reviewed periodically to ensure compliance with applicable laws and best practices in child protection.
